To protect an environment where our employees can work with peace of mind, xCARE has established a company-wide policy for responding to customer harassment. We value our relationships of trust with customers and partners while safeguarding the dignity of every employee.

1. Basic policy
To maintain a workplace where every employee can work with peace of mind, xCARE Inc. responds as an organization to customer harassment from customers, experts (both registered and prospective), candidates, business partners and any other party involved with the Company.
We value our relationships of trust and strive to respond in good faith. At the same time, we do not tolerate words or actions that harm the dignity of our employees or their working environment, and we will take appropriate measures where necessary, including suspending services, terminating contracts and pursuing legal action.
2. Definition of customer harassment
In line with the guidance of Japan's Ministry of Health, Labour and Welfare, we define customer harassment as demands, words or actions from customers, business partners or other parties whose content or manner is socially unreasonable and which harm the working environment of our employees.
Examples
Abusive language, insults or attacks on a person's character
Intimidation or threats
Detaining staff for long periods without reasonable cause
Persistent inquiries or demands
Defamation of individual employees on social media or elsewhere
Excessive demands for apology, such as demanding someone kneel
Discriminatory or sexual words and behaviour
Any other act that seriously harms the working environment of our employees
3. Our response
When customer harassment occurs, the Company supports the employee as an organization and takes the following measures as required. We may also record calls or document the content of meetings where necessary.
Reporting to supervisors and relevant departments
Retaining records of the response
Ending the meeting or phone call
Suspending services or terminating the contract
Consulting the police, legal counsel or other authorities
4. Support for employees
The Company maintains an environment in which employees who experience customer harassment can raise the matter with confidence. No employee will be treated unfavourably for having made such a report.
5. Point of contact
The point of contact for customer harassment is the Administration Department. Reports are handled appropriately and with due regard for privacy.
6. Communication
This policy is communicated to all employees and published on our website and elsewhere as appropriate.
